    The Cheltenham Hen and Party Co.– Event & Party Planning Services (UK)

    1. Definitions

    • “Company” refers to The Cheltenham Hen and Party Co.

    • “Client” refers to the individual or organisation booking services.

    • “Event” refers to the party or function being planned.

    • “Third-Party Suppliers” refers to external vendors including but not limited to venues, caterers, decorators, entertainers, rental companies, and service providers.

    2. Scope of Services

    2.1 The Company provides event planning and coordination services only.

    2.2 The Company does not attend or manage events on the day.

    2.3 The Company does not supply staff, including servers, hosts, security, or event managers.

    2.4 All services are arranged remotely and fulfilled by third-party suppliers.

    3. Use of Client Funds

    3.1 The Client authorises the Company to use monies paid by the Client to book supplies and services on their behalf.

    3.2 Payments made to the Company may include:

    • Third-party supplier costs

    • Planning or coordination fees (if applicable)

    3.3 The Company is not a trustee or escrow service and does not hold funds beyond what is reasonably required to secure bookings.

    4. Third-Party Suppliers

    4.1 All services and goods are provided by independent third-party suppliers.

    4.2 The Company acts solely as an intermediary and is not responsible for the acts, omissions, performance, delays, or failures of third-party suppliers.

    4.3 Any contracts formed with suppliers are between the Client and the supplier, even if booked by the Company on the Client’s behalf.

    4.4 Supplier terms and conditions may apply and it is the Client’s responsibility to review them.

    5. No On-Site Responsibility

    5.1 The Company will not be present at the Event under any circumstances.

    5.2 The Company is not responsible for set-up, supervision, coordination, or troubleshooting on the event day.

    5.3 The Client is responsible for liaising directly with suppliers on the event date unless otherwise agreed in writing.

    6. Changes & Client Responsibilities

    6.1 The Client must provide accurate information regarding the Event.

    6.2 Changes requested after bookings have been made may incur additional costs.

    6.3 The Company is not liable for issues arising from incorrect or late information provided by the Client.

    7. Cancellations & Refunds

    7.1 Planning or coordination fees (if charged) are non-refundable once work has commenced.

    7.2 Refunds for third-party services are subject to the supplier’s cancellation policy.

    7.3 The Company is not responsible for recovering funds from suppliers in the event of cancellation.

    8. Liability

    8.1 To the fullest extent permitted by UK law, the Company shall not be liable for:

    • Supplier failures or negligence

    • Loss, damage, or injury at the Event

    • Delays, cancellations, or service issues beyond the Company’s control

    8.2 The Company’s total liability, if any, shall be limited to the amount paid directly to the Company for planning services only.

    9. Indemnity

    The Client agrees to indemnify and hold harmless the Company against any claims, losses, damages, or expenses arising from:

    • The Event

    • Actions of third-party suppliers

    • Breach of these Terms & Conditions by the Client

    10. Force Majeure

    The Company shall not be liable for failure or delay due to events beyond its reasonable control, including but not limited to acts of God, strikes, supplier failure, or government restrictions.

    11. Governing Law

    These Terms & Conditions shall be governed by and construed in accordance with the laws of England and Wales.

    12. Acceptance

    By booking services or making payment, the Client confirms they have read, understood, and agreed to these Terms & Conditions
